Nicholson AgriDrones App Privacy Policy

This Privacy Policy explains how HeatSeeker Thermal Drone Solutions, LLC, doing business as Nicholson AgriDrones, collects, uses, stores, and shares information through the Nicholson AgriDrones business-management application.
1. Information We Collect
The application may collect and store information including:
customer names and business names;
mailing addresses, email addresses, and telephone numbers;
farm, field, crop, acreage, county, and service information;
job scheduling and service records;
agricultural application and operational records;
invoice, balance, payment-status, and transaction information;
aircraft, equipment, maintenance, battery, and flight records;
account authorization and connection information;
technical information needed to operate, secure, and troubleshoot the application.
2. QuickBooks Online Information
When an authorized user connects the application to QuickBooks Online, the application may access and process information including:
QuickBooks company identification information;
customer records;
products and service items;
invoices;
invoice numbers;
invoice balances;
payment status; and
related accounting information needed for synchronization.
Nicholson AgriDrones does not receive or store the user’s QuickBooks password.
QuickBooks access is authorized through Intuit’s OAuth process. Access tokens and refresh tokens may be securely stored on the application’s server infrastructure so the authorized connection can continue operating.
3. How Information Is Used
Information may be used to:
manage customers, fields, jobs, and services;
prepare and maintain agricultural service records;
create and synchronize invoices;
monitor invoice balances and payment status;
maintain equipment and operational records;
generate business, compliance, and financial reports;
provide customer service;
troubleshoot and improve the application;
prevent unauthorized access and misuse; and
comply with legal, accounting, tax, aviation, pesticide, and recordkeeping requirements.
4. How Information Is Shared
Nicholson AgriDrones does not sell personal information.
Information may be shared only as reasonably necessary with:
Intuit and QuickBooks Online when an authorized connection is enabled;
cloud hosting, database, security, and technology service providers;
accountants, attorneys, insurers, consultants, and other professional advisers;
government agencies or regulators when legally required;
law enforcement or other parties when required by law or necessary to protect rights, safety, property, or application security.
Third-party providers may process information according to their own terms and privacy policies.
5. Data Storage and Security
Nicholson AgriDrones uses reasonable administrative, technical, and organizational safeguards intended to protect information against unauthorized access, disclosure, alteration, loss, or misuse.
The application may use Cloudflare services for hosting, server processing, database storage, and security.
No internet-connected system can guarantee absolute security. Users are responsible for protecting their devices, access credentials, and authorized application sessions.
6. Data Retention
Information is retained for as long as reasonably necessary to:
operate Nicholson AgriDrones;
provide requested services;
maintain accounting and business records;
comply with legal and regulatory requirements;
resolve disputes; and
enforce agreements.
Information may be deleted, anonymized, or retained longer when required by applicable law or legitimate business-recordkeeping obligations.
7. Disconnecting QuickBooks Online
An authorized user may disconnect QuickBooks Online through the application or through the user’s Intuit account.
Disconnecting prevents future QuickBooks synchronization but may not automatically delete information previously imported into or created by the Nicholson AgriDrones application.

8. Access, Correction, and Deletion Requests
Individuals may contact Nicholson AgriDrones to request access to, correction of, or deletion of personal information associated with them.
Some information may need to be retained for legal, accounting, tax, aviation, pesticide-application, insurance, contractual, or other recordkeeping purposes.
Nicholson AgriDrones may take reasonable steps to verify the identity and authority of a person making a request.
9. Cookies and Local Browser Storage
The application may use cookies, browser storage, or similar technologies to:
maintain application settings;
remember authorized connections;
store locally entered records;
support offline or installed-app functionality;
improve performance; and
maintain secure sessions.
Clearing browser data may remove locally stored application information that has not been synchronized or backed up.
10. Children’s Privacy
The application is intended for business use and is not directed toward children under 13. Nicholson AgriDrones does not knowingly collect personal information from children through the application.
11. Changes to This Privacy Policy
This Privacy Policy may be updated periodically to reflect changes to the application, legal requirements, or business practices.
The effective date at the top of the policy will be updated when material changes are made.
